Terms & Conditions of Installation

1. Scope of Work

  • Polar Heating & Cooling (“we”, “our”, “us”) will carry out installation work as detailed in the agreed quotation.
  • Any additional work requested that is not covered in the original quote may be subject to additional charges.

2. Quotations & Pricing

  • All quotations are valid for 30 days unless otherwise stated.
  • Prices are subject to change if unforeseen conditions arise (e.g., access issues, asbestos, or additional materials required).
  • VAT will be charged at the applicable rate unless otherwise stated.

3. Access & Site Conditions

  • The customer is responsible for providing safe and reasonable access to the installation site.
  • Any delays caused by restricted access or unsafe working conditions may incur additional costs.

4. Permits, Planning & Regulations

  • It is the customer’s responsibility to obtain any necessary planning permission, landlord consent, or listed building approvals before work begins.
  • All installations will be carried out in accordance with current building regulations, gas safety, F-Gas, and electrical standards.

5. Installation Timeline

  • We will make every effort to complete work within the agreed timescale but are not liable for delays caused by third-party suppliers, weather, or other events beyond our control.

6. Payment Terms

  • A deposit may be required prior to work commencing (amount detailed in the quote).
  • Final payment is due upon completion of works unless otherwise agreed in writing.
  • Late payments may be subject to interest charges in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

7. Warranties

  • We provide a 12-month workmanship guarantee from the date of installation.
  • Manufacturer warranties on boilers or AC units vary by brand and model. Details will be provided at time of install.
  • Warranties are void if units are tampered with, not serviced as required, or used outside of their intended purpose.

8. Servicing & Maintenance

  • It is the client’s responsibility to maintain equipment and arrange annual servicing to keep warranties valid.
  • We offer servicing packages and will advise on recommended maintenance schedules.

9. Liability

  • We accept no liability for any indirect or consequential loss, damage, or injury resulting from installation or use of equipment, except where caused by our negligence.
  • We are fully insured for public liability and professional indemnity.

10. Cancellations

  • Cancellation must be received in writing at least 48 hours before the scheduled installation date.
  • Any special-order equipment or materials already purchased may be chargeable.

11. Commercial Work – Additional Terms

  • Where work is undertaken in a commercial setting, additional risk assessments and RAMS may be required.
  • Commercial clients may be subject to staged payment terms and additional contract conditions as agreed in writing.

12. Disputes

  • Any complaints or disputes should be raised with us directly and in writing.
  • We aim to resolve issues quickly and professionally. If not resolved, we may refer the matter to a registered dispute resolution service.


Finance Terms & Conditions

Finance is provided by Kanda (Kanda Products & Services Ltd), an authorised and regulated credit broker, not a lender.

1. Eligibility

  • Finance is available to UK residents aged 18 or over, subject to status and affordability checks.
  • A soft credit check may be performed when you apply, with no impact on your credit score unless you proceed.

2. Finance Provider

  • Finance for Polar Heating & Cooling installations is offered through Kanda, a third-party credit broker.
  • Full finance applications are handled securely via Kanda’s platform at the time of quotation.

3. Repayment Terms

  • Finance options typically range from 3 to 10 years, with both interest-free and interest-bearing options depending on the loan amount and customer profile.
  • Example: Installation from £1,750 — representative finance available from £37.39/month over 60 months (subject to approval).

4. Deposit & Payment

  • A deposit may be required, depending on the finance product selected.
  • No installation work will begin until the finance agreement has been approved and any required deposit is paid.

5. Cancellation & Cooling-Off Period

  • You have a 14-day cooling-off period after signing your finance agreement during which you can cancel without penalty.
  • If cancelled after installation has begun, you may be liable for any completed work or non-refundable costs.

6. Warranty & Ownership

  • Equipment remains your property once finance begins. Warranty terms are unaffected by use of finance.
  • Standard manufacturer and workmanship guarantees still apply.
